An announcement from the DBV Board

Dear Members, 

As part of our commitment to strong governance and transparency, it is important to update you on details regarding the notice of a Special General Meeting (SGM) and the scheduled date for an Annual General Meeting (AGM), including the process for calling for Board nominations. 

The proposed date for an AGM is Thursday, 13 November 2025.  We will be holding a Special General Meeting on Wednesday, 8 October 2025, to enable members to formally consider, and adopt, a proposed new Constitution of Dragon Boat Victoria. This step is essential to ensure our governance framework aligns with regulatory requirements and best practices. There is also a mandatory change that is required to meet Australian Tax Office regulations. 

Key Dates: 

  • A notice for a Special General Meeting will be made on Tuesday, 16th September 2025. The Special General Meeting will be Wednesday 8th October 2025 at 7pm (online Zoom meeting).

  • Nominations for four (4) new Board members will officially open Sunday, 29 September 2025. 

  • The SGM to adopt a new Constitution will be held on Wednesday, 8 October 2025. 

  • Nominations and motions for the AGM must be received by Thursday, 16 October 2025. 

  • Notice of the AGM, including business, resolutions, and candidate lists, will be officially issued on Thursday, 23 October 2025. 

  • The AGM will occur on Thursday, 13 November 2025. 

This timeline is designed to balance governance compliance, operational readiness, and member engagement. We encourage all members interested in contributing to the future leadership of Dragon Boat Victoria to consider nominating and participate actively in the meetings. 

  • The timing ensures nominations are called early to allow a smooth transition under our governance framework while maintaining continuity. 

  • Whether the new constitution is adopted at the SGM or later, nominations and elections will proceed to maintain a capable and active Board.
